MUFINDI TRAVEL & TOURS

Last Updated: October 10, 2026

1. INTRODUCTION

These Terms and Conditions (“Terms”) govern the relationship between Mufindi Travel & Tours (“Mufindi,” “we,” “our,” “us”) and the client (“you,” “your”) who books or takes part in our safari tours, packages and related services. By booking with us or using our website, you agree to be bound by these Terms.

Please read them carefully before you book. If you do not agree to them, please do not use our services.

2. BOOKING AND PAYMENT TERMS

2.1 Booking Process

  • All bookings must be made in writing, through our website, by email or through our enquiry or booking form.

  • A booking is confirmed only after we receive the required deposit and send you written confirmation.

  • By booking, you confirm that you have the authority to accept these Terms on behalf of everyone in your party.

2.2 Deposit and Payment Schedule

  • A non-refundable deposit of [30%] of the total tour price is required to secure your booking.

  • The balance is due [45] days before your safari begins.

  • For bookings made within [45] days of departure, full payment is required at the time of booking.

  • For last-minute bookings (within [14] days of departure), payment must be made by bank transfer or credit card.

2.3 Payment Methods

  • We accept payment by bank transfer, credit card and other methods we specify in your invoice.

  • Payments must be made in the currency stated on your invoice.

  • You are responsible for any bank charges or transaction fees on your side.

2.4 Price Guarantee and Adjustments

Once your booking is confirmed, the price is guaranteed, except for:

  • Government action or increases in national park fees, taxes or conservation levies

  • Significant currency fluctuations (exceeding [5%])

  • Increases in domestic flight or supplier costs outside our control

  • Changes to your itinerary requested by you

We will tell you about any adjustment as soon as possible.

3. CANCELLATION AND CHANGES

3.1 Cancellation by Client

Cancellations must be made in writing. The following fees apply:

  • More than [60] days before departure: loss of deposit ([30%])

  • [59 to 45] days before departure: [50%] of the total safari cost

  • [44 to 30] days before departure: [75%] of the total safari cost

  • Less than [30] days before departure: [100%] of the total safari cost

Some of our suppliers, including lodges, camps and domestic flight operators, apply their own cancellation terms, which can be stricter than the schedule above. Where that is the case, we will tell you before you pay your deposit, and any fees we cannot recover from a supplier may be passed on to you.

3.2 Cancellation by Mufindi

We may cancel a tour for reasons including insufficient participants, force majeure events or safety concerns. In that case we will offer you either:

  • Alternative travel arrangements of similar standard and value, or

  • A full refund of all monies paid to us for the cancelled services

We are not liable for any incidental expenses you incur because of such a cancellation, such as international flights or visa fees.

3.3 Changes to Bookings

3.3.1 Changes by you

  • Changes are subject to availability and may involve extra costs.

  • A service fee of [$50 USD] applies to changes made after confirmation.

  • Significant changes within [45] days of departure may be treated as a cancellation.

3.3.2 Changes by Mufindi

  • We may alter routes, schedules, itineraries or accommodation where necessary, for example because of weather, road or airstrip conditions, flight schedule changes or park closures.

  • If a significant change is needed, we will tell you as soon as reasonably possible.

  • If a significant change reduces the value of your trip, we will offer appropriate compensation.

4. SAFARI OPERATIONS AND CONDUCT

4.1 Safari Participation

  • You must follow the reasonable instructions of your guides, rangers and staff.

  • We may remove any client whose behaviour is dangerous, disruptive or harmful to the group. No refund is given in that case.

4.2 Health and Fitness

  • Please tell us at the time of booking about any medical conditions, disabilities or special requirements.

  • You are responsible for making sure you are fit to take part in your chosen activities, including walking safaris and rainforest hikes where they are part of your itinerary.

  • We may decline a booking if we have genuine concerns about your health or safety.

4.3 Documentation and Requirements

  • You are responsible for valid passports, visas, vaccination certificates and any other documents required to travel.

  • Missing documentation may result in denied boarding or entry, and no refund will be given.

  • We strongly recommend comprehensive travel insurance (see Section 5.3).

4.4 The Safari Experience

  • Wildlife sightings cannot be guaranteed, and no refunds are given for not seeing particular animals.

  • Accommodation is as described in your itinerary but may be replaced by alternatives of a similar standard if necessary.

  • We may assign vehicles and guides as operations require.

4.5 Remote Locations and Seasonal Conditions

  • Many Southern Circuit destinations, including Nyerere, Ruaha and Katavi, are remote. Medical facilities may be far away, mobile signal may be limited or absent, and help can take time to arrive.

  • Some camps close or operate differently during the long rains, and roads and airstrips can be affected by weather. We will tell you about any known seasonal limitations when we plan your trip.

5. LIABILITY AND INSURANCE

5.1 Limitation of Liability

  • Mufindi arranges services from third-party providers such as lodges, camps, airlines, transport operators and park authorities.

  • To the maximum extent permitted by law, we are not liable for injury, loss, damage, delay or inconvenience caused by the act or default of a supplier or any other person outside our reasonable control.

  • Our liability is limited to the maximum extent permitted by law and will not exceed the cost of the services provided to you.

5.2 Force Majeure

We are not liable for failing to perform our obligations because of events beyond our reasonable control, including war or threat of war, terrorism, natural disasters or adverse weather, fire, industrial disputes, technical failures in transport, epidemics or pandemics, and government regulations or actions.

5.3 Travel Insurance

  • Comprehensive travel insurance is mandatory for all clients.

  • It must cover medical emergencies, medical evacuation, personal liability, cancellation, curtailment, and loss of luggage and personal effects.

  • Proof of insurance must be provided before your safari begins.

6. PASSPORTS, VISAS AND HEALTH

6.1 Passports and Visas

  • Your passport must be valid for at least six months beyond your intended departure date from Tanzania.

  • You are responsible for obtaining visas and entry permits. We can offer general guidance, but we are not responsible for visa application issues.

6.2 Health Requirements

  • You are responsible for meeting health requirements and obtaining recommended vaccinations and malaria prevention.

  • We recommend consulting a travel doctor well in advance.

7. SAFARI ACTIVITIES, FLIGHTS AND WILDLIFE

7.1 Wildlife Interactions

  • You must keep a safe distance from wildlife and follow your guide’s instructions at all times.

  • Feeding, touching or harassing wildlife is strictly prohibited.

7.2 Safari Vehicles

  • Our vehicles are regularly maintained and equipped for safari conditions.

  • Maximum passenger numbers will not be exceeded.

  • Seat rotation may be used on multi-day safaris.

  • Smoking is prohibited in safari vehicles at all times.

7.3 Walking and Boat Safaris

  • Walking safaris are led by a qualified guide and armed ranger, and boat safaris by experienced crew. You must follow their safety briefings and instructions at all times.

  • Guides and rangers may change, shorten or cancel an activity at any time if conditions are unsafe.

7.4 Domestic Flights and Luggage

  • Domestic and bush flights are operated by third-party airlines and are subject to their own conditions, schedules and safety decisions. Delays and schedule changes can occur.

  • Luggage limits on light aircraft are strict, usually around [15kg] per person including hand luggage, in soft-sided bags. We will confirm the limit for your flights, and you are responsible for packing within it. Excess baggage may be refused or charged.

7.5 Activities and Excursions

  • Optional activities not included in your package are undertaken at your own risk.

  • We may subcontract some activities to reputable third-party providers.

  • All activities depend on weather and local conditions.

8. PHOTOGRAPHY AND PRIVACY

8.1 Client Photography

  • Photography for personal use is welcome but must follow park regulations.

  • Commercial photography may need special permits, which are your responsibility.

  • Please ask permission before photographing local people.

8.2 Company Photography

  • We may take photographs or video during your safari for promotional use.

  • By taking part, you agree to this unless you tell us otherwise in writing before your trip.

  • We will respect your privacy and dignity in all promotional material.

Your personal data is handled as set out in our Privacy Policy.

9. COMPLAINTS AND DISPUTE RESOLUTION

9.1 During Your Safari

  • Please report any problem immediately to your guide or our local representative so we can fix it on the spot.

9.2 After Your Safari

  • If you remain dissatisfied, please send your complaint in writing within [28] days of the end of your safari.

  • We will acknowledge it within [14] days and aim to respond in full within [28] days.

9.3 Dispute Resolution

  • These Terms are governed by the laws of Tanzania.

  • Both parties agree to try to resolve any dispute amicably first.

  • If that is not possible, the dispute will be settled by arbitration in Tanzania.

10.2 Severability. If any provision is found to be invalid or unenforceable, the rest remain in full effect.

10.3 Waiver. If we do not enforce a provision, that does not mean we waive it or our right to enforce it later.
